1WorldSync Obligations

Approach:

Preparation and sharing of a high-level and specific pre-workshop questionnaire with the Customer upfront: In addition to providing the answers to 1WorldSync ’s questionnaire, the Customer shall provide any relevant documentation, e.g. on current system landscape, processes or requirement specifications, with 1WorldSync . The Customer’s responses to the questionnaire and the analysis of the provided documents will enable 1WorldSync to conduct a thorough pre-analysis of the Customer’s specific requirements, to plan and prepare the Project Discovery and to address the relevant topics.

Execution of app. 15-18 hours of Remote Project Discovery workshops with the Customer, with 1WorldSync consultant(s) with domain specific expertise and representatives of all relevant stakeholder groups of the Customer:

The Project Discovery will effectively provide the Customer with an in-depth, tailored process for evaluating & gaining insights into their existing product content creation and syndication processes, in order to highlight the main existing pain points, and to facilitate a detailed roadmap for planning and prioritizing the best-fit solution & implementation strategy

The workshops are conducted either in two approx. 8-hour sessions, on-site at the Customer’s premises, or in several 3- to 4-hour remote sessions (interactive web conferences). Between the individual appointments, the results are processed and structured so that they are available as a basis for further discussion in the follow-up appointments.

In each appointment, representatives (approx. 1-2) from all relevant business units of the Customer are needed. The individual participants are welcome to vary, i.e. it is not necessary that the same people are always present in all workshops. Experience has shown that a change of participants can even have a positive effect on the result, as a broader picture is created for the analysis. It is important that all areas of the company that are involved in the creation and communication of product master data are covered by the participants.

Analyzing, structuring and reframing the workshop results and reviewing them with the Customer (post workshop analysis). For the post workshop analysis as well as for the preparation of the management presentation, a core team (approx. 3-5 persons) should be available for another approx. four 1 to 2 hour appointments (remote).

Follow up meeting with Customer: Transformation of the results into more precise plan and effort estimation for phase-based implementation of the solution and process.

Duration:

The preparation phase takes about 2-4 weeks, including the coordination of dates and the invitation of participants for the workshops. Experience shows that the implementation of the workshops and analysis of the results takes about 4-8 weeks, depending on the availability of the Customer’s resources. For a subsequent preparation and execution of the management presentation, another 2-4 weeks are required. The total duration (8-16 weeks) is significantly influenced by the availability of resources on the part of the Customer.

Customer will provide the necessary data and information to the 1WorldSync team in an accurate, complete and timely manner.

Customer will have aligned internally on product data location and availability prior to this project.

Scope/Tasks EN

Objective:

The objective of this Service is to identify, assess and prioritize the key dimensions and challenges of the Customer’s “”Product Information Value Chain””. Based on the results of this assessment, the Customer will be enabled to outline the various elements of the dimensions of the product data value chain, to uncover problem areas and areas for improvement in the creation and communication of product master data and to address Customer’s prioritized business frictions in a step-by-step approach. Furthermore, this Service will enable 1WorldSync to present a detailed project approach in the form of a roadmap and a comprehensive proposal to address these challenges and increase data quality, including the provisions of a clear demarcated pricing indication per phase, as well as for the overall cost estimation, to enable budgetary planning by Customer.

Scope:

1WorldSync , based on its domain–specific expertise and based further on industry best practices to the Customer’s situation, shall highlight and assess the following dimensions of the Customer’s Product Information Value Chain:

Internal structures & processes:

Who are the recipients of the information?

What data is needed?

What data is stored where?

What is the leading system?

Which other systems are used?

Who is responsible for data maintenance?

How does the information flow between the systems?

How does each stakeholder receive the information?

Internal and external data consumers & their requirements:

Which data must be transmitted in which form (output format) to which trading partner?

Where are the requirements per end customer recorded?

Is redundant work done today to fulfill the same tasks?

How does the data flow for synchronization and regular updating of communication to end consumers, e.g. on websites?

Who has access to product data and digital assets, internal and external users, manually or through automated data exchange, e.g. for collaboration with marketing agencies?
